Start with logistics
For an initial availability check, provide the general pickup and destination areas, appointment date, required arrival time, wheelchair or ambulatory needs and whether a companion travels. Avoid sending patient records or detailed health information through the public email link.
Confirm the responsible contact
Identify who is authorized to arrange the trip, who agrees to the private-pay fare and who will communicate changes. Before sharing personal pickup details, confirm with the passenger how the booking should be coordinated and ask us how to provide the needed information.
Keep discharge requirements with the facility
The facility determines whether the passenger may leave and what escort or responsible adult is required. A driver does not automatically satisfy a surgery center's responsible-adult requirement. Arrange that person separately and confirm the handoff point with the facility.
Make recurring requests specific
For dialysis or rehabilitation, list the requested dates and check-in times, along with expected schedule changes. A request for a series is reviewed date by date, and unconfirmed dates should remain open in your planning.
Close the loop before the visit
Confirm the accepted date, route, fare, pickup arrangement, return plan and point of contact. If timing or assistance requirements change, review suitability again. Do not promise transport to a passenger until Ride Primetime has directly confirmed it.
